Privacy Policy

Closevora is software for real estate agents, operated by Closevora, Inc.. Most of the personal information in it is not yours — it belongs to your clients and prospects. This page explains what we hold, why, and who else touches it.
The most important thing on this page
When you add a contact, upload a CSV, or collect an open house sign-in, you are putting another person'spersonal information into Closevora. You decide what goes in and what it is used for; we store and process it on your instructions. That makes you responsible for having a lawful basis to collect and use it, and for honoring requests those people make about their own data. We will help you carry that out — see “Your clients' rights” below.
What we collect
Your account. Name, email, hashed password, and optionally your brokerage, phone, license number, logo, and headshot.
What you put in. Contacts and their details, notes, interaction history, deals and milestones, listings and property photos, goals, open house visitor sign-ins, and campaign records. Notes fields are free text — whatever you type there, we store.
Usage. Counts of AI generations per day, used to enforce fair-use limits. Standard server logs from our hosting provider.
What we do not collect. No advertising trackers, no third-party analytics, no cookies beyond the one that keeps you signed in. We do not buy data about you or your contacts, and we have never sold or shared personal information for advertising.
AI processing — read this one carefully
Closevora's drafting features send the relevant context to Anthropic's Claude API to generate text. Depending on the feature, that context can include a contact's name, stage, timeline, your private notes about them, logged interactions, deal details, and property photos.
If you would not be comfortable with a vendor processing a particular note, do not type it into a notes field. Notes are included in prompts for follow-up drafts, deal reviews, and portal updates.
We use Anthropic's commercial API. Under their terms for business customers, prompt content is not used to train their models. We do not add your data to any training set of our own, because we do not train models.
Who else processes your data
We use the following vendors. Each receives only what it needs to do its job.
- Vercel — Application hosting and file storage (property photos, logos, headshots)
- Neon — Managed PostgreSQL database — where contacts, deals, and notes are stored
- Anthropic — AI generation (Claude). Receives the content of prompts, which can include contact details and your notes
- Resend — Transactional email delivery, such as password reset links
- Cloudflare — DNS and inbound email routing for our own domain
We will update this list before adding a vendor that handles personal information.
Client portals and open house links
Two features deliberately expose data outside your account, and both are your choice to switch on:
Client portals. When you enable a portal for a deal, anyone holding that link can see the property address, milestone dates, the updates you post, and the message thread. The link contains a long random token and is not indexed by search engines, but it is not password protected — treat it as a private link, not a secure one. Your notes, commission, and risk flags are never included. You can disable a portal or issue a new link at any time, which immediately breaks the old one.
Open house sign-in. The sign-in page is public by design so visitors can use it without an account. It only ever shows the property address and your greeting — never the list of who else has signed in.
Your clients' rights
Depending on where they live, the people in your database may have the right to access, correct, or delete the information you hold about them. Those requests come to you, not us, because it is your database.
Closevora gives you the tools to act: you can edit or delete any contact, and deleting one removes their interactions, drafts, and related records. If you need help fulfilling a request, email support@closevora.com and we will assist.
Security
Passwords are hashed with bcrypt and never stored in readable form. Traffic is encrypted in transit. Password reset tokens are stored only as hashes, expire in an hour, and can be used once. Changing your password invalidates existing sessions.
No system is perfectly secure. We do not claim otherwise, and we would tell you promptly if we learned of a breach affecting your data.
Retention and deletion
We keep your data while your account is open. Ask us to close your account and we will delete it, along with the contacts, deals, and content in it. Backups roll off on their own schedule, so deletion from backups is not instantaneous.
Children
Closevora is a professional tool and is not directed at anyone under 18. We do not knowingly collect information from children.
Changes and contact
If we change this policy in a way that materially affects you, we will tell you rather than quietly editing the page. Questions go to support@closevora.com.
